Book a service for a client (on their behalf)

Take a booking over the phone or at the desk. Owners and managers: Appointments → Bookings → "Book a client". Practitioners: My Appointments → "Book a client" (your own calendar only). Pick the person, the service and a time — they get the same confirmation email as if they had booked it themselves.

Prerequisites

  • • Feature: Appointments must be enabled in Settings → Features.
  • • The service must be active and have at least one practitioner linked to it (Appointments → Appointment Types).
  • • Managers need the "Manage bookings" permission; practitioners can book into their own calendar only.
1

Open it

Owner or manager: go to Appointments and switch to the Bookings tab — "Book a client" sits at the top right, above the filters. Practitioner: open My Appointments (on a phone it is under "More") — "Book a client" is next to the title. If you teach no classes, your phone shows Appointments as one of the four tabs at the bottom instead — see "The practitioner menu". Do NOT use Room Plan / "Book room" for a client: that only reserves a room, has no client and no price, and will never show under Appointments or be chargeable.

2

Find the client, or add them

Type a name or email to search your members. If they are new, click "Add a new client" and fill in the same details you would anywhere else (name, email, phone, date of birth, gender) — they are added to your roster properly, not as a one-off, and are selected for the booking straight away. Once chosen, the client's name is a link: as owner or manager, click it to open their profile on the Money tab in a new tab — the place to put a card on file for a home visit, or sell a pass — and come back to finish the booking.

3

Pick the service, practitioner and time

Choose the service, then the practitioner (if only one person offers it, they are picked for you; a practitioner booking from My Appointments is always the practitioner), then a date. The open times shown are that practitioner's real availability for that client — minus anything already booked, and minus their classes. A practitioner only sees the services the studio has linked to them under Settings → Services.

4

Home visits ask for the address

If the service takes place at the client's location, the form also asks for the visit address and a phone number for the day. A home visit still requires the client to have a card on file, whoever is booking — that check is the only identity evidence taken before a practitioner is sent to an address alone, so it is not waived for staff.

5

Book

The client is emailed the confirmation, and the practitioner gets a "New Appointment Booked" email naming your studio as the one who made it, the service, the client and the time, linking to My Appointments. Because your studio made it, it is confirmed immediately rather than waiting for the practitioner to approve a request. If the service costs money and the client has no card on file, they also get a second email, "Add a card for your <service>", with a button that takes them to their card page — so the card is there before the visit, and after it the practitioner charges it with one tap (see "Charge after an appointment"). Until they add one, the booking wears a "No card on file" badge — on your Bookings tab and on the practitioner's My Appointments — and the practitioner has a "Card link" button next to it: "Email the link" sends it again, "Show a QR" puts a code on the phone for the client to scan on the spot. The slot is held either way; nothing is cancelled for a missing card.

Limits
  • • Practitioners see it too, in the dashboard, but can only book clients into their own calendar — nobody can fill a colleague's day.
Tips
  • • A service sold by the hour shows a "Length" row under the service — pick how long the visit is before choosing a time; the price follows.
  • • If the client has no card saved, the booking still goes through, the client is emailed a link to add one, and the booking carries a "No card on file" badge until they do. You can still collect afterwards with "Take payment" or by sending a pay link from the booking.
  • • A client with no class credits left can be booked too. Credits are for bookings the client makes themselves; a booking your studio makes is never blocked by them, and is recorded as unpaid so you can collect it your own way.
  • • This is the services equivalent of "Book a member into a class". Classes and services now both let staff book on someone's behalf.
  • • A booking made this way is an ordinary booking: it can be moved, cancelled, charged and rebooked like any other.
