Charge a card after a completed appointment

For paid services, members save a card when booking and the practitioner charges an editable amount once the appointment is completed — so tips or add-ons can be adjusted on the day.

Prerequisites

  • Feature: Appointments must be enabled in Settings → Features.
  • Your studio must have completed Stripe Connect onboarding (Settings → Payments).
  • The appointment type must have a price greater than $0.

• Role: Owner or Manager or Instructor

1

Members add a card when booking

For a paid service on a card-based studio, the member is asked to add a card before the booking is created. The card is saved securely with Stripe — no charge is taken at booking time. If they have not added one yet, they will see "Add a card to book" and are sent to Stripe's secure card-entry page, then returned to finish booking.

2

Complete the appointment

After the session, mark the appointment as Completed (instructor portal, or the dashboard Appointments → Bookings tab). Only completed appointments can be charged.

3

Charge the card

On a completed paid appointment, click "Charge $X". The amount is prefilled to the booked price — edit it if you need to add a tip or extra services before charging. Click Charge to take the payment from the saved card. The row then shows "Paid $X".

4

If the card is declined

If the charge fails (card declined, expired, etc.), the appointment shows "Payment failed" and a "Retry charge" button. Ask the member to update their card, then retry. A successful charge is never taken twice — once an appointment is marked Paid it cannot be charged again.

Tips
  • The editable amount is for adjusting the final total (tips, add-ons). It defaults to the price the member saw when booking.
  • Payments go to your studio's connected Stripe account, minus the standard platform fee — the same as class and event payments.
  • Members can see "Paid $X" on their own Appointments page under Past appointments.
  • Credit-based studios are unchanged: a credit is the payment, so no card is required and there is no charge step.
