Sell a pass or take a payment with the card on file

A member calls and says "just put it on my card". Open their page, press "Sell a pass" (or "Charge card"), type the card or use the one already saved, tick "save this card" if they want it kept, and press one button. They get a receipt by email; nothing is ever charged automatically.

Prerequisites

  • • Stripe connected under Settings → Payments.
  • • Owner, or a manager with the "View payments" permission — the same gate as granting a pass.
  • • To sell a pass this way it must be a one-time pass (class pack or drop-in) with a fixed price. Monthly passes renew as a subscription and are bought from the member's own account.
1

Open the member and press "Sell a pass"

Members → click the person → "Sell a pass" in the row of buttons (or the Money tab → "Card on file" card, which also has "Charge card" for an amount that isn't a pass). Pick the pass, or type an amount, and write one line for the receipt — "4-class pack, asked by phone". The line is required: a charge with no reason on it is the one nobody can explain later.

2

If they already have a card that's agreed to charges, press the button

The sheet shows the card (brand and last four) with "Consent by member" or "Consent recorded by staff", and one button: "Charge $180 to Visa •••• 4242". Press it. The pass lands on their account the moment the charge goes through, and the receipt goes out.

3

If they have no card, type it in — or hand it to their phone

The card fields appear right in the sheet. They are Stripe's own fields, so the number never touches Klasly. Tick "Save this card to their file" if they want it kept, then tick "They said yes" after asking them — exactly the "would you like me to save this card for future purchases?" question. Press "Continue to card", type the card, and press "Charge $180 and save card". Next to the card fields there is a link, "Let them enter it on their phone": it shows a QR code (or emails them a link) so they type the card and tick the agreement on their own phone, and your screen fills in by itself when they are done. Handy when they are standing in front of you, or would rather not read a number out loud. If the phone that scanned the code has the Klasly app on it and is signed in — the studio phone, say — the "All set" screen ends with a "Back to Klasly" button; a member on their own phone just closes the page.

A card saved for an appointment needs one more yes

A card the member saved when booking a Service was saved for that appointment only. Their page shows "Not yet agreed to charges" and an "Ask for consent" button that emails them a one-tap confirmation; the pill turns green when they tap it. Until then, "Sell a pass with a new card" still works with them on the phone.

5

What the member gets

A receipt naming the amount, what it was for, the card, and who charged it — plus, when a card was saved, a "we saved your card" email with a Remove link. They can remove the card from their own Appointments page at any time; that removes the agreement with it.

6

If the card is declined

The sheet says so on the spot and nothing is charged. Try another card, hand it to their phone, or ask them to buy from their own account. Every charge — succeeded, declined, or never completed — is listed under the card on the Money tab, so nothing is only in a log. A charge that went through but whose pass could not be added shows "paid, pass not added" with a Retry.

7

If it says the charge could not be confirmed

Rarely, Klasly sends the charge and gets no answer back — it is not a decline, and the card may have been charged. The charge is listed under the card as "not confirmed yet" with a Retry: press it after a minute and it becomes a normal charge (with the pass added and the receipt sent) or "not completed" if it never reached the card. You do not have to work out which: pressing "Charge" again does the same check first, and never charges the card a second time for a sale that already went through. While the answer is still unknown, a new charge to that saved card is held back for about two minutes.

Limits
  • • Consent is recorded per card. Removing the card removes the agreement; a new card needs a new yes.
  • • Charges are capped at $5,000 each. Refunds work from the Money tab like any other pass or payment.
  • • A card read out over the phone and typed by staff is a "card not present" charge to the card networks; if the member later disputes it, the studio usually loses. The phone link (member enters it themselves) is the safer choice when they are in the room.
Tips
  • • "Assign pass" (next to "Sell a pass") still gives a pass away for free — for cash, transfers, and migrations. Selling takes money; assigning does not.
  • • When one or more members have a card that is not yet agreed to charges, your Dashboard shows a card naming them with "Ask all" — one press emails each of them the one-tap confirmation, the same email as "Ask for consent" on their page. "See who" opens Members filtered to just those people. The card goes away on its own once you have asked, or with "Not now".
  • • The Remove button next to the card is for the studio; the member has one too, on their Appointments page.
