Put credit on a member's account

Owe somebody money — a cancelled class, a goodwill gesture? Add account credit on their member page. It is real money, comes off automatically the next time they book a class or buy a pass, and every movement is listed with the reason you typed.

Prerequisites

  • • Owner, or a manager with the "Issue refunds" permission — adding credit is giving money away, so it sits behind the same permission as a refund.
1

Open the member and find "Account credit"

Members → click the person → the Money tab. "Account credit" sits between "Class credits" and "Grant a pass". It shows the balance in dollars — deliberately, because "Class credits" just above it counts CLASSES, not money. If you see a dollar sign, you are in the right place. A non-zero balance also shows as a chip in the header, so you can see they are owed something without opening the tab.

2

Add the amount, with a reason

Type the amount, type a short reason ("Sound bath cancelled", "goodwill"), and press "Add credit". The reason is required: it is what the history shows, and a balance nobody can explain six weeks later is exactly what this is meant to avoid. "Remove" takes credit away the same way, and can never push a balance below zero.

3

They spend it by doing nothing

The next time that member books a paid class or buys a pass, the credit comes off the price automatically — no code to type and nothing to remember. If it covers the whole thing, no card is asked for at all and the booking simply completes. The class is paid, so it does not also use one of their class credits or a pass visit. If it covers part, they pay the difference by card as usual.

4

Check the history any time

Every movement is listed under the balance, newest first: what was added, what was spent, and the reason. It is the same list the member's money passes through, so you can answer "why do I have $40?" without leaving the page.

Limits
  • • Recurring memberships are billed by subscription and are NOT reduced by credit — take those off the price of a pass instead, or apply the credit as a refund on the subscription in Stripe.
  • • Credit does not expire and is specific to your studio.
Tips
  • • Account credit is money; the "Credits" field on the same page is a count of classes. A member can have both, and they are spent on different things.
  • • A member sees their balance on the Purchase page, with a line saying it comes off automatically. There is nothing for them to do.
  • • It works on classes and one-time purchases (passes, packs, drop-in tickets).
  • • If a member starts a checkout and abandons it, the credit is briefly held and comes back automatically within 30 minutes. It is never lost.
  • • A class paid entirely with credit records no payment, because no money moved — the credit was the payment. The booking is otherwise completely ordinary.
