Invite an instructor

Send an email invitation so an instructor can join your studio.

Go to Instructors

Click "Instructors" in the sidebar.

Click "Invite Instructor"

Enter the instructor's name and email address.

Send the invitation

The instructor receives an email with a link to set their own password. The link works for 24 hours — if they miss it, you can send another one any time from their profile.

Tips
  • Instructors are created without a password, so the invitation link is their only way in until they set one. If someone says "I never had a password", they are right — send them a fresh login link rather than looking for their old one.
  • In Collective Mode, the instructor will also be prompted to connect their Stripe account.
  • You can create an instructor without sending an invitation if you prefer to set up their profile first.
  • Upload a profile photo from the instructor detail page — JPG, PNG, or WebP up to 2 MB. The photo appears in the instructor list and on member-facing pages.
  • Add an optional Website link (Instagram, personal site, etc.) on the instructor detail page — it appears in the Instructor Info card alongside email and phone.
  • You can also import instructors in bulk via CSV.
  • Teaching at your own studio? Owners and managers can now add themselves as an instructor using their existing email — their admin role is preserved. The sidebar automatically grows a "My Classes" and "My Earnings" link so they can switch between the admin and instructor views without logging out.
  • Change history: the instructor detail page has a Change history section under the edit form. Expand it to see when the instructor was added and every profile, rental, or membership-tier change since — each row shows who made the change, their role, and when. This now includes edits the instructor makes to their OWN profile (name, bio, website, specialties) from their portal, so the two views never drift apart. Personal fields like bio are recorded by name only, not value.
