Set your availability for 1-on-1 appointments

Define which days and hours you are open for bookings. Members can only pick times within your availability windows. Owners and managers can also set this up on a practitioner's behalf.

Prerequisites

  • Feature: Appointments must be enabled for your studio.
  • You must be an instructor on the studio's account.

Open Availability

In the instructor portal sidebar, click "Availability". If you do not see the link, ask your studio owner to enable the Appointments feature.

Add a time slot for a day

The page shows Monday through Sunday. Click "+ Add Slot" next to any day you are available. A default 9:00 AM – 5:00 PM window appears — adjust the start and end times with the time pickers.

Choose how often the slot repeats

Each slot has a Repeat dropdown: "Weekly" (every week, the default) or "Every other week". For every-other-week, pick whether it starts this week or next week — that sets the on/off rhythm. The slot then shows up on alternating weeks only.

Add multiple windows per day (optional)

Click "+ Add Slot" again on the same day to create a second window — useful if you take a lunch break (e.g. 9:00–12:00 and 14:00–18:00). Each window can have its own Weekly / Every other week setting.

Block a specific date (day off)

In the "Days off & one-off days" section, click "+ Day off" and pick a date. That date is fully blocked — your normal weekly hours are ignored and members can't book you, even if you'd usually be open.

Open extra hours for one date

Click "+ Extra day", pick a date, and set a start/end time. Those hours are added on top of (or instead of) your weekly schedule for that single date — handy for a one-time Saturday or a late evening.

Remove a slot or override

Click the × button on the right of any slot or date override to remove it. Days with no slots show "No availability set" and members cannot book those days.

Save

Click Save in the top right. Your availability is immediately active — members can now see your open slots when booking.

Owners & managers: set it up for a practitioner

You don't have to wait for a practitioner to do this themselves. Go to Instructors → click the practitioner, and use the "Availability" section on their page to add the same weekly slots, days off, and extra days on their behalf. It saves to that practitioner's calendar and behaves exactly like the instructor-portal editor.

Tips
  • Owners and managers can edit any practitioner's availability from the practitioner's page under Instructors — useful for onboarding a new practitioner or adjusting hours while they're away. (Managers need the booking-management permission.)
  • Every other week is phased per slot: "from this week" and "from next week" are offset by one week, so you can stagger different days onto opposite weeks.
  • A "Day off" always wins. If a date has both a day off and extra hours, the day off takes priority and the date stays blocked.
  • The booking system checks your availability against existing confirmed appointments and your class sessions for the same day, so double-bookings are prevented automatically.
  • Leave a day's slot list empty to block that day on the normal weekly rhythm — members will see "No available slots" when they pick that date.
  • Buffer time between appointments is set on each appointment type by the studio owner, not here. You just define your working hours.
  • A whole appointment has to fit inside ONE window — a 120-minute service never appears in a 90-minute window, and a home-visit service that adds a first-visit intake needs the massage PLUS the intake to fit. If a linked service can't fit, an amber warning appears above the editor naming the service and the minutes it needs; widen a window (or shorten the service) and the warning goes away as you type.
