Set a free-cancellation window per service and what a cancellation inside it costs. Late cancellations collect on the Bookings tab of your Appointments page, where you press Charge or Waive.
Prerequisites
Go to Appointments, open the Appointment Types tab, and press Edit on the service you want a policy on. The "Cancellation" card sits just below "Minimum notice".
Choose "Free cancellation until" (for example, 24 hours before) and "Late cancellation fee" (full price, or a percentage). The card shows you the exact sentence clients will read, with the real amount in it.
When a client cancels inside the window, a row appears in "Late cancellations" at the top of the Bookings tab on your Appointments page, with their name, the amount and their card. Press "Charge" to take it, or "Waive" to let it go. The practitioner who lost the visit can press Charge too, from their own appointments list.
Home visits open with 24 hours and full price already filled in; in-studio services open with no fee. Both are editable. The setup questions show the same rule when you add a home-visit service there (“Late cancellation”), with “No fee” one tap away.
The window and the fee are quoted to the client on the booking form, in every confirmation email, and again on the button when they cancel, so a charge is never the first they hear of it.
The sentence says only what will happen. It reads "…is charged to your saved card" when you can charge cards (Stripe connected) and that client has a card saved; otherwise it reads "…is due to the studio", the fee is still recorded on your Bookings tab, and you collect it yourself. Until you connect Stripe, "Charge the fee automatically" is not offered.
A client who books inside the window (for example, tomorrow morning booked tonight with a 24-hour window) is not quoted a deadline that has already passed. They read "This appointment is less than 24 hours away, so there is no free cancellation" with the amount. Withdrawing a request you have not accepted yet is never charged.
A declined card leaves the row on your card with the reason from the bank and a Retry button. Nothing disappears silently.
Collected fees appear on your monthly statement under "Late cancellation fees", separate from Appointments, because no visit happened.
