View and manage session bookings

See who booked, manage waitlists, take drop-ins, and mark no-shows or late cancels.

Open the session

Click the class on the schedule, or go to Bookings → click on a session. You'll see confirmed and waitlisted members.

Add a drop-in

Click + Add drop-in to search for any member and book them on the spot. Their credit / pass is deducted automatically.

Check who paid but never booked

If anyone bought a single-class pass for this class and never actually booked, an amber panel appears above the list naming them, with what they paid and when. Buying a pass and booking a seat are two steps, and someone who only did the first is not on the attendance sheet and will not be emailed if the class changes — so treat the panel as part of the roster. Use + Add drop-in (or Book a member) to put them on the list. The panel only covers single-class passes that are still unused; class packs and memberships are not flagged, because not booking one particular session is normal for those.

Mark no-show or late cancel

Each booked member has a Status column with quick No-show (red) and Late cancel (amber) buttons. Click either to flag the booking — the attended checkbox is automatically cleared. Click Clear on the badge to undo.

Cancel a booking

Click the cancel button next to a member's booking. The first person on the waitlist is promoted, and the member is made whole automatically: a pass use or credit is returned, and a booking the member paid for by card is refunded back to their card. The card refund needs the Issue Refunds permission (owners always have it); a manager without it can still cancel — they just won't auto-refund the charge.

Tips
  • No-show and late cancel are tracked per booking, so the same member can attend on a different session without affecting this one.
  • Card refunds on cancel go back to the same card and reverse the platform fee. If the charge was already refunded in Stripe, cancelling is still safe — it won't double-refund.
  • Pass sessions are NOT auto-refunded on no-show — that's intentional, since most studios charge for no-shows. Cancel the booking instead to refund.
  • Waitlist bookings do not consume credits. Credits are only deducted when promoted to confirmed.
  • Drop-in attendees are listed separately and counted in total attendance.
  • A booking count of zero does not always mean nobody is coming. Check the "paid but not booked" panel before you cancel a class — cancellation emails only reach booked members, so anyone in that panel gets no warning and may turn up.
