Pay a practitioner for a visit that was referred back

When a practitioner meets a new client and decides not to go ahead, the client is not charged and nothing is paid automatically — you decide what the trip was worth and press one button.

  • Feature: Appointments must be enabled in Settings → Features.

What happens when a visit is referred back

The appointment status becomes "referred back", the client is not charged, and the client gets a neutral email saying you will be in touch — it never says the practitioner declined. You get an email too, with anything the practitioner chose to tell you.

Find it on your screen

Go to Appointments → Bookings. A panel headed "Visits referred back at intake" lists each one with the practitioner and the client.

Decide what the trip was worth

Type an amount in the box and click "Pay trip fee". It is added to that practitioner's monthly payouts statement. Nothing is charged to your card at that moment — you settle it with everything else they earned, in one payment, on Payouts → Instructors.

Or close it at $0

Leave the amount at 0 and click "Pay trip fee" to record that nothing is owed for this trip. The visit stops appearing in the list. That is a decision, not a dismissal — so make it deliberately.

Tips
  • A trip fee is paid in full to the practitioner. Their service payout percentage is not applied to it: it reimburses a journey, not a share of a session that did not happen.
  • You can set a default amount that pre-fills the box, so you are not re-deciding every time. It is a per-studio setting and starts at $0.
  • Nothing is deducted from anyone automatically. Klasly deliberately does not guess what a referred-back visit is worth — you choose the number, and you can choose zero.
  • The reason a practitioner gave, if they gave one, is in the email you received. It is never written to the appointment record, because clients can read their own appointment details.
