Customize confirmation emails

Edit the default subject and body that members receive when they book — or override for a single class.

1

Open Settings → Confirmation emails

Edit the studio-wide default for class bookings and a separate default for event bookings.

2

Use variables for personalization

For class bookings: {memberName}, {className}, {sessionDate}, {startTime}, {studioName}. For event/retreat bookings: {memberName}, {eventName}, {eventDate} (the date or date range), {eventLocation}, {studioName}. They're substituted at send time. Anything else in braces (a variable we don't recognize, or a typo) is removed so it never shows up as literal text in the email.

3

Set a custom sender name (optional)

The "From" name on confirmation emails. Defaults to Klasly when blank.

4

Per-class override (optional)

On any class template, tick "Custom confirmation email for this class" and write a class-specific subject and body. Overrides the studio default for that class only.

Tips
  • Plain text only — no HTML — but paragraph breaks are preserved.
  • The class/event details block (date, time, location, payment, online link if any) is always appended automatically, so you don't need to repeat it in your body.
  • Only the variables listed above are supported. If you type something like {eventTime} or {facilitator} that isn't on the list, it is silently removed rather than printed — so the safest custom copy uses only the listed variables or writes details out in plain text.
  • Per-class overrides win over studio defaults, which win over the Klasly default. Leave both blank to keep using Klasly's message.
  • Per-event override too: tick "Custom confirmation email for this event" on the event Edit page (Basic Info step) to override just that event.
  • Copy from another class/event: inside the override panel, click "Copy from another class" (or "another event") to pick from any other one you've already customized. Subject + body are pulled in so you can tweak rather than retype.
  • Test before saving: each section has a "Send test to me" link in the top-right corner that emails a preview to your owner address using sample data (Member Name = your name, Session Date = a placeholder). Iterate on your wording without bothering real members.
