Print rosters, rooming lists, dietary summaries, and emergency sheets from your guest data — no extra setup required.
Quickest way: on the Events list, published, sold-out, and completed events show a "Day-of" link in their row — click it to jump straight to the hub. You can also open it from the event itself: Events → your event → Manage, then the "Day-of operations" button in the top-right header next to Edit.
The hub shows seven ready-to-print sheets — Guest Roster, Rooming List, Emergency & Health Sheet, Dietary Summary, Day Plan, Add-on Appointments, and Name Tags — plus the live Check-in screen. Click the button on any card: print sheets open a print-preview page in a new tab (the print dialog launches automatically — click Print or choose "Save as PDF"), while Check-in opens in place.
Lists every active guest with their room/option, email, application form answers, and any outstanding balance. Each row has an "Arrived" checkbox so the printed sheet doubles as a paper sign-in sheet. Group bookings are expanded to individual rows. Use this at the reception table, or use the live Check-in screen for the same list on your phone.
Each guest's name and assigned room, grouped by room option. Assign rooms on the event's attendee list (Manage → Bookings → the Room column — free text, so "101" and "Cedar Cabin" both work; group bookings assign each member individually, and a chip shows how many guests still need a room). Unlike the Guest Roster, this sheet never shows payment, balance, or contact information, so it's safe to hand to the venue or post at check-in.
Pulls emergency contact, allergy, and medical fields from your application form automatically (by matching field labels like "emergency", "allergy", "medical"). Only available to owners and managers. Keep it on hand at remote locations.
Aggregates dietary restrictions and food preferences by count (Vegan ×3, Gluten-free ×2…) and shows a per-guest breakdown. Give this to your kitchen or catering team before each meal.
Prints the day-by-day schedule (Day 1 / Day 2…) with times and activities — the same timeline you build under Events → Edit → Schedule. Hand it to facilitators or post it so everyone knows what's happening when. If it's blank, add schedule items on the event first.
Every add-on session (massages, readings, healing sessions…) grouped by day and then by practitioner, with the time, service, guest name, how to reach them, payment status (including tips), waiver status, and open slots. The "Contact" column prints the phone number the guest typed at the kiosk, falling back to their email if they didn't give one (both are optional when they book), so whoever is holding the sheet can reach a guest whose time has just moved. Each day is headed with the time zone it prints in — the event's own if you set one, otherwise your studio's — so a sheet run off on a laptop that is on a different clock still shows the times the room is actually working to. On a multi-day retreat the sheet lists every day by default; use the "Print day" buttons at the top of the preview to narrow it to just the day you're running before you print. Print one for the front desk and one for each practitioner's room so everyone knows who's next — bookings made on the tablet kiosk during the event appear as soon as you re-open the sheet. Practitioners with a Klasly login also see these appointments (with guest names and payment/waiver status) directly on their own My Schedule page, marked with a purple "Retreat" badge.
Prints a sheet of name tags — one per guest, two per row, each showing the event name and the guest's name and room/option. Cut them out or run the page on label stock for the welcome table. Group bookings get a tag for every person.
The "Check-in" card opens an interactive screen — the live version of the Guest Roster, not a printout. As each guest arrives, tap "Check in" to mark them arrived; the count at the top updates live ("12 / 20 arrived") and a progress bar fills. Tap again to undo. Each guest shows their room/option, email, and an amber "Balance $X" flag if they still owe — so you can collect at the door. Use the search box to find a guest by name or email fast. Group bookings check in as one unit, and the arrived count includes everyone in the group. Changes save instantly, so two staff can check people in from different phones at once.
